Mechanic Service Terms & Conditions

Service Terms and Conditions

Cycolo Solutions | Effective October 19, 2026

By leaving your bicycle or parts with Cycolo ("we," "us," "the Shop") for service, repair, assembly, or storage, you ("the Customer") agree to these terms. Please read them before booking or dropping off your bike.

1. Our Commitment to You

We take pride in our work. Every bike is serviced by an experienced mechanic, and we do everything reasonably within our power to keep your bike safe, secure, and working properly while it is in our care. We use professional tools, proper techniques, and quality workmanship on every job.

2. No Guarantee of a Perfect Outcome

Bicycle repair is part skill and part diagnosis. Even with expert work, we cannot guarantee that every problem will be fully resolved on the first visit, or that a bike will be free from future faults. Some issues are intermittent, hidden, or only show up after riding. Others take time and more than one visit to solve. Our work is provided on a reasonable-efforts basis.

3. Come Back and Let Us Know

If something doesn't feel right after your service, such as a noise, a shifting problem, or a loose part, please bring the bike back as soon as possible. We encourage you to return, and we will take a look and work with you to put it right. Please do not continue riding a bike that you believe is unsafe. Early feedback helps us fix problems quickly and keeps you safe.

4. Estimates, Diagnosis, and Authorization

  • Estimates are our best assessment at the time and may change if we find additional issues once work begins.
  • We will contact you for approval before doing work that goes significantly beyond the agreed estimate.
  • Diagnostic and inspection time may be charged even if you decide not to proceed with repairs.
  • By booking a service or approving a work order, you authorize us to perform the listed work and to test ride the bike as needed.

5. Ownership and Authority to Service

By leaving a bike with us, you confirm that it is yours or that the owner has authorized you to have it serviced. If we reasonably suspect that a bike is stolen, we may decline the work, hold the bike, and contact the police.

If the bike belongs to a person under the age of majority, a parent or legal guardian must authorize the work and agree to these terms on their behalf.

6. Pre-Existing Condition, Wear, and Hidden Defects

We are not responsible for pre-existing damage, normal wear and tear, corrosion, fatigue, or defects that are hidden or not reasonably detectable, including in frames, forks, carbon components, and other structural parts. If we notice a safety concern during service, we will make reasonable efforts to tell you, but a service is not a guarantee that every part of your bike is free of defects.

7. Damage to Your Bike

We take great care when handling your bike. However, to the fullest extent permitted by law, the Shop is not liable for damage to your bicycle, accessories, or components that occurs while it is in our possession, including damage that happens during normal handling, service, testing, or storage, except where caused by our gross negligence or willful misconduct. Please remove any personal items, lights, bags, electronics, and valuables before drop-off. We are not responsible for items left on the bike.

8. Theft, Loss, and Events Beyond Our Control

We take reasonable steps to keep your bike secure. Even so, to the fullest extent permitted by law, the Shop is not liable for theft, loss, fire, flood, vandalism, break-in, or other events outside our reasonable control. We strongly recommend that you maintain your own insurance (such as home or tenant insurance, or a dedicated bike policy) that covers your bike while it is in the care of a third party.

9. Parts and Components

  • Parts we supply are covered only by the original manufacturer's warranty, if any. We do not offer our own warranty on parts.
  • To the fullest extent permitted by law, we make no promise that any part, whether new, used, supplied by you, or supplied by us, will perform, last, or fit as expected.
  • We are not responsible for failure of customer-supplied parts, or for parts that are incompatible with your bike.
  • Replaced parts will be returned to you on request. Otherwise they will be recycled or disposed of.

10. Batteries, Electronics, and Fire

We do not service e-bikes, including their motors, drive units, controllers, and drive batteries. We do work on conventional bikes that have electronic parts, such as electronic shifting, electronic suspension, lights, cycling computers, power meters, and sensors.

For these parts, to the fullest extent permitted by law:

  • We do not guarantee that electronic parts will keep working, hold a charge, stay waterproof, or work with other devices or firmware versions.
  • We are not responsible for battery failure, leaking, overheating, or fire, including fire from a battery or electronic part in your bike or accessories.
  • We are not responsible for lost settings, data, or ride history. Please back up anything important before drop-off.
  • Firmware updates, pairing, and adjustments can sometimes cause problems we can't foresee, and may affect manufacturer warranties.
  • Please tell us about any damaged, swollen, or recalled batteries. We may refuse to handle or store them.

11. Safe Riding and Assumption of Risk

Cycling carries inherent risks, including injury and death. You are responsible for checking your bike (brakes, tires, quick releases, and bolts) before every ride, for wearing a helmet and appropriate safety gear, and for riding within your abilities and the law. Service performed by us does not remove the risks of cycling.

12. Right to Refuse or Stop Service

We may decline or stop work on any bike that we consider unsafe, unrepairable, or not worth repairing, or if a customer is abusive. We will let you know, and you will be charged for the time and parts already used.

13. Turnaround Times

Any pickup date we give you is an estimate, not a promise. Parts delays, supplier backlogs, busy periods, and unexpected problems can extend the time a repair takes. We will keep you updated if the timeline changes, but we are not liable for losses caused by delays.

14. Cancellations, Deposits, and Special Orders

You may cancel a repair at any time, but you will be charged for work already done, parts already ordered or installed, and diagnostic time. We may ask for a deposit on special-order or custom parts. Deposits on special-order parts are non-refundable once the order has been placed with our supplier, unless the supplier accepts a return.

15. Limitation of Liability

To the fullest extent permitted by law:

  • The Shop's total liability for any claim connected to our services will not exceed the amount you paid us for the specific service at issue.
  • We are not liable for indirect or consequential losses, including loss of use, rental costs, missed events or races, or lost income.
  • Nothing in these terms excludes liability that cannot legally be excluded, including liability for death or personal injury caused by our negligence where the law does not allow it to be limited, and any rights you have under consumer protection laws.

16. Used Bikes and Parts Sold As-Is

Any used bike, used part, or clearance item we sell is sold as-is, with no warranty from us beyond what the law requires. We may help you inspect it before you buy, but we can't promise it is free of hidden defects or wear.

17. Pickup and Uncollected Bikes

We will contact you when your bike is ready. Bikes not collected within 7 days of notice may be subject to storage fees of [$25 per day]. Bikes left uncollected for 60 days after notice may be treated as abandoned and sold or disposed of to cover outstanding charges, as permitted by law.

18. Payment

Payment is due in full when you pick up your bike. We may hold the bike until all charges are paid. Unpaid balances may be subject to interest and collection costs.

19. Photos and Records

We may take photos of your bike at drop-off to record its condition, and we may keep service records to help with future work.

20. Privacy

We collect your name, phone number, email, and bike details only to book and carry out your service, contact you, and keep service records. We do not sell your personal information. We may share it only when needed to complete your service, process payment, or meet legal requirements. To see or correct your information, contact us at the details below. [Link to your privacy policy, if you have one.]

21. Governing Law and Disputes

These terms are governed by the laws of British Columbia, Canada. We encourage you to contact us first so we can try to resolve any concern directly and fairly.

22. Severability

If any part of these terms is found to be invalid or unenforceable, that part will be limited or removed to the extent necessary, and the rest of the terms will stay in full effect.

23. Changes and Acceptance

We may update these terms from time to time. The version in effect at the time you drop off your bike applies to that service. By booking a service or leaving your bike with us, you confirm that you have read, understood, and agreed to these terms.
